Automation of the annual PUMA update process for all BMW vehicle models in Workfront: Replaced manual email/text message briefings with a native Workfront form featuring conditional automation rules, which automatically creates fully briefed tasks across projects for the relevant teams. Result: a time saving of approximately one week per cycle during the briefing phase, reduced project management workload, and improved briefing quality.

Design and implementation of an automated asset ordering tool for Hugo Boss: via a shop interface developed in-house, more than 300 wholesale partners (including Breuninger) ordered their campaign assets in custom formats. Behind the scenes, a Zapier-driven pipeline handled order confirmation, job creation, automated InDesign production, CI checks and delivery. The result: consistently standardised, scalable order processing instead of hundreds of inconsistent order emails.

Setting up a master template in Workfront for automated milestone and capacity planning for BMW vehicle projects: rather than manually working backwards from milestones, planning capacities and creating tasks individually, all that is required is to select a template and enter the start date – Workfront then automatically generates the complete project schedule, including capacity planning for each trade. Result: a time saving of approximately one week per project, with around 50 projects per year.

Replacement of an agency-wide, jointly maintained and error-prone Excel capacity spreadsheet with a filter-based live dashboard in Workfront: Estimated effort is recorded against the task and automatically booked as capacity requirements when a project is created, with the option to switch flexibly between trade-specific and individual capacity. In addition, automated reports on overdue tasks, missing responsibilities and impending peak periods. The result: a reliable, shared data foundation for project managers, trade leads, teams and management, rather than Excel chaos.
